TrakHub (“we”, “us”, or “our”) — Workforce management application for employers and employees.

1. Introduction

This Privacy Policy explains what information TrakHub collects, how we use it, how we share it, and the choices you have. This policy applies to users located in the United States and to our mobile applications and website.

2. Information We Collect

We collect only the data necessary to provide and secure our service. This includes:

  • Account Information: name, date of birth, email address (for account creation, identification, and login).
  • Employment & Time Data: clock-in/clock-out times, PTO and vacation requests, attendance records and other work-related entries.
  • Payment Information (if applicable): payment processing is handled by Stripe. We do not store full card numbers on our servers.
  • Technical & Usage Data: device type, IP address, log data, and other technical information required to operate and secure the service.

3. How We Use Your Information

We use collected data for the following purposes:

  • Create and manage employer and employee accounts.
  • Record and display attendance, PTO and vacation requests for internal HR management.
  • Authenticate users and secure accounts.
  • Process payments when applicable (via Stripe).
  • Maintain and improve the reliability and security of our service.
  • Comply with legal obligations when required.

We do not use your data for advertising or analytics and we do not sell personal information.

4. Third-Party Service Providers

We rely on reputable third-party service providers to operate our service. These providers process data on our behalf and are contractually required to protect your information. Key providers include:

  • Firebase (Google LLC) — authentication and database services.
  • Amazon Web Services (AWS) — hosting and secure storage.
  • Stripe, Inc. — payment processing (if you or your employer use paid features).

We do not share user data with advertisers or analytics networks.

5. Data Retention & Deletion

We use a two-step deletion approach to balance user control with operational and legal needs:

  • Soft Deletion (default): When a user deletes their account (or an employer removes an employee), we immediately remove the user’s access to the system and stop any future payments or charges associated with that account. The account becomes inaccessible to the user, but underlying records are retained in our systems for administrative, backup, or compliance reasons.
  • Hard Deletion (permanent): If a user requests permanent deletion, we will perform a complete erase of their personal data from our primary systems and backups where reasonably practicable. To request permanent deletion, the user can:
    • Delete the account in-app (if applicable) and then open a deletion request via support; or
    • Contact us directly at trakhubhr@gmail.com with the account email and deletion request.
    Once we receive and verify a valid hard-deletion request, we will permanently remove the user’s personal data, except where we are required to retain certain records by law (for example, payroll, tax, or employment recordkeeping obligations applicable to employers). If we must retain certain information for legal reasons, we will limit access and retain only the minimum required data.

Note: Employers are responsible for compliance with employment recordkeeping obligations. Our soft-deletion approach preserves employer access to historical records unless a hard-delete request is received and processed.

6. Your Rights & Choices

You may:

  • Access and update your personal information from within the app (where the app provides such functionality).
  • Delete your account in the app — this triggers the soft-deletion process described above.
  • Request permanent deletion (hard delete) by contacting us at trakhubhr@gmail.com. We will verify and then process the request in accordance with applicable law.

7. Data Security

We implement reasonable security measures to protect personal data, including industry-standard encryption in transit (TLS) and encryption at rest where applicable, secure hosting (AWS), and limited access controls. While we work to protect your information, no method of transmission or storage is 100% secure—absolute security cannot be guaranteed.

8. Children’s Privacy

Our service is intended for workplace use and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected data from a child under 13, we will take steps to delete it.

9. International Data Transfers

Although our app is provided to users in the United States, our third-party providers (e.g., hosting or support services) may transfer data across borders as necessary to provide the service. We take steps to ensure adequate protections for any international transfers (contracts, industry-standard safeguards, etc.).

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy here with a new “Last updated” date and, where appropriate, provide notice in-app or via email.
